Working on behalf of a Local Authority, Aatom Recruitment has an opportunity for a full time 3 month role as a Reablement Operations Support Officer
The service is currently delivered 365 days from 8am – 10pm. However, the future direction is for the services to become increasingly multi agency and the service may need to change in line with service development requirements.
The post holder will exemplify best practice in working with adults in strengths based and person centred way, connecting people with informal, community based support wherever possible. You and other team members will be fully committed to working in partnership with residents, carers, community based organisations and other key professionals involved in enabling people to be as independent as they possibly can.
Flexible working over a 7 day working week will be required to fit in with the needs of the service:
⦁ Responsible for producing documents, including structure charts, tables, spreadsheets, graphs and flowcharts observing time scales.
⦁ Responsible for managing the duty telephone line including handling telephone calls effectively, taking and emailing messages or redirecting calls.
⦁ To organise meetings and invitations, take notes/minutes of meetings and ensure actions and follow-up work is carried out accurately and efficiently.
⦁ Participate in the planning and implementation of appropriate training of staff, including induction and on-line training.
⦁ Lead responsibility for stock taking of inventory, office equipment and managing Personal Protective Equipment (PPE) supplies.
⦁ Lead responsibility for audit and management of the Service User’s keys and key safe system.
⦁ To be responsible for the ordering of stationery and other goods for the Reablement Service directly from suppliers, ensuring that systems are in place to ensure accurate records are kept of delivery and that invoices are processed for payment. To advise the Reablement Manager of any budget issues for Stationery supplies.
⦁ To support Reablement Managers with the processing and recording of invoices for stationery and facilities management in accordance with resource and finance governance processes.
⦁ At all times to carry out responsibilities/duties within the framework of the Council’s Dignity for all Policy. (Equal Opportunities Policy).
⦁ Ensure legal, regulatory and policy compliance under GDPR, Health and Safety and in area of your specialism identifying opportunities and risks and escalating where appropriate.
⦁ To manage special projects as directed by the Reablement Manager.
⦁ To develop and use information technology systems to improve services and to carry out duties in the most efficient and effective manner.
⦁ Such other minor and/or non-recurring duties, appropriate to the post as may be directed.
Qualifications
⦁ Experience in a large organisation providing administrative services
⦁ Intermediate level of computer skills including Microsoft Office
Experience
⦁ Knowledge of Adult Social Care services
⦁ Ability to work to tight and challenging deadlines, demonstrating initiative and problem solving skills
⦁ Effective time management and organisational skills
Skills
⦁ Ability to liaise and consult with user groups, frontline staff and other sections, as required
⦁ Awareness of statutory requirements relating to regulated services, CQC standards
⦁ Ability to analyse written and numerical information, producing accurate recommendations, often through the effective use of IT
⦁ Good written and oral communication skills
⦁ Ability to co-ordinate and produce communications, documents and reports
⦁ Ability to draft correspondence and minutes, using word processing facilities
⦁ Ability to be able to use information technology to organise and carry out daily tasks, including apps, computers and SMART phones
Special requirements of the post
⦁ This role will require you to obtain an Enhanced satisfactory clearance from the Disclosure and Barring Service formally known as the Criminal Records Bureau (CRB) Disclosure
⦁ The post-holder will be required to work flexibly over a 7 day working week
⦁ Ability to adhere to the client’s Dignity for All policy.
